With over 30 years of experience, Victrex is a market leader specializing in designing lighter, quieter and more efficient metal replacement solutions, i.e. high performance PEEK-polymeric solutions.

For example, 75% of a vehicle’s fuel is lost to inefficiency, most of it caused by frictional losses. Replacing cast iron gears with Victrex solutions has led to a 78% reduction in the moment of inertia, reducing energy loss and increasing fuel efficiency. The entire driving experience is improved with the reduction in noise. Manufacturing costs and delivery time in the aerospace industry are also drastically reduced. Using their strategic skillset to shape future performance, Victrex is uniquely positioned to understand and appreciate how the diverse benefits offered by AXtension solutions can influence their bottom line.

VICTREX TESTIMONIAL

The decision to go with Microsoft Dynamics AX was made based on James Fleming’s previous experience with Microsoft Dynamics AX and the desire to have one single partner for their complete solution. IBRL was a partner with whom James had a proven track record and they also knew that the AXtension solutions provided enhanced process and procedural functionality that they required. James used conferences such as the Microsoft Convergence to investigate the entire range of options and finally decided on three AXtension offerings: AXtension® Invoice Processing, AXtension® Enterprise Content Management and AXtension® Visual Planning.

Advantages and goals of the solutions

The Victrex invoice approval process was mainly manual with no integration. However, AXtension® Invoice Processing provides key functionality that meets the following requirements:

  • 2,500 invoices processed every month in the UK.
  • Four different standard invoice approval processes in one location.
  • Use of colors provides status and due-date information.
  • Matching improvements as coupling with OCR.
  • Invoice totals tolerances improvement.

AXtension® Enterprise Content Management provides document control functionality that is crucial to Victrex due to regulatory requirements, including:

  • Leveraging of the rich SharePoint document management functionality available in Microsoft Dynamics AX.
  • Ability to retrieve role-based documents.
  • Microsoft Dynamics workflow provides document approval.
  • Key Collaboration on a company, enterprise and global level.
  • Key collaboration with non-AX users.

AXtension® Visual Planning has a somewhat familiar interface. “What we’re looking to get out of this is, for example, when we’re looking at a new product and we’re trying to get momentum behind a new product that we’re going to be developing, how can we actually first of all cost this, and then plan it and use projects within Microsoft Dynamics AX and get it into a much better shape than we had before. This tool is really going to lift us on that and really give us some good momentum in that area.” said James. He continued, “We think there’s lots of growth for this and we think it’s going to be a real success for us.” Visual Planning for Production delivers:

  • Rough cut capacity planning.
  • Fine scheduling on resource level for production orders, consuming raw materials, booking resource and time.
  • Fine scheduling on resource level for maintenance work.
  • Optimized scheduling for setup reduction.
  • Full project integration.

ADVANTAGES OF AXTENSION AS AN ISV

“It’s been a really great experience that we’ve had with these guys.” James continued. “With the training they provide to our partner, IBRL can then deploy it in the best way possible within our business. They are always on the end of the phone and very easy to get in touch with to help, and really want to make it work. That whole collaboration’s been fantastic. To the end user, nobody’s got any idea that it’s a different solution at all and that’s really important to me. Companies such as AXtension, with a large breadth of products, are key.” The main advantages of the collaboration include:

  • High level of engagement from the first interest.
  • Collaboration is key – working with their UK partner (IBRL).
  • Fully integrated within Microsoft Dynamics AX – to the end user it is out-of-the-box Microsoft Dynamics AX.
  • Happy to work with Victrex on changes to the AXtension standard product.

FUTURE PLANNING

The AXtension suite has the following global rollout plan within Victrex:

Deliverable

Timing

Rollout US

Q4 2014/Q1 2015

Rollout UK

James sums up his testimonial by stating, “We’re starting to reap the benefits of the products and it’s been a great experience so far. Certainly as a business and for solving business problems, I think these solutions are a great addition to Microsoft Dynamics AX 2012R3. They really do enhance the product and are really worth while having a look at if you have some of the challenges that we have.”

J+S Ltd

J+S uses AXtension® Visual Planning to manage projects more effectively and efficiently, thereby improving the service levels delivered to their high-level defense and energy industry customers.

Watch and listen how Laura Tipper from J+S Ltd is telling about AXtension® Visual Planning. AXtension truly creates Happy Customers!

J+S is a UK based engineering solutions provider. Founded in 1956, they are a small privately owned company with a total staff of 130 people over two locations in Barnstaple and Aberdeen and have an annual turnover of £13m. They have three main business streams:

  • Naval Defense – over 50% of their business.
  • Marine Renewables.
  • Oil & Gas.

J + S

J+S main capabilities cover Marine Engineering and Equipment Support Services and lie in the following areas:

  • Mechanical and electrical design.
  • Software development.
  • Acoustics processing.
  • Small scale manufacturing capability allowing bespoke manufacturing and integration.

They have built strong, long term relationships with a very diverse and increasing number of
blue-chip customers as either a direct, second or third tier supplier. These relationships have led to a set of very diverse customer requirements that include, but are not limited to:

  • Design, development and installation programs.
  • Long term support contracts.
  • Spares management and repair services.
  • Off-shore repairs and servicing.
  • Bespoke and volume manufacturing.
  • Post design services.
  • Urgent Operational Requirements (UOR).
  • Rapid response teams.

Requirements

To support all of their customer requirements, at each site an engineering team supports their design and development programs and engineering tasks derived from their long term, off-shore support projects. A Support services team provides both on-shore and off-shore technical services, which requires special skills, qualifications and certifications. The engineering team located in Aberdeen also performs off-shore work. UOR and Oil & Gas repair work often requires immediate deployment, necessitating the re-prioritization and re-allocation of resources. Engineering and support service resources are assigned to projects by the Resource Manager for each site and they must be able to react at a moment’s notice to fill requirements and then provide backup support. “Managing all of these key capabilities is something we have been struggling with for a long time”, said Laura Tipper, the J+S ERP Project Manager.

The current situation is that the Barnstaple site is using a 15-year old Sage 500 system and the Aberdeen site is using a 2-year old Pegasus Opera II system, and of course the two systems run independently. They perform a semi-annual monthly and yearly account reconciliation, which requires dozens of spreadsheets and access databases to run the business. Microsoft Project is used sparingly and without resource planning, which is done on white boards in the Resource Managers’ offices.

The J+S management team produced a Road to 2015 strategy document that outlined the need for a single ERP system. Their key goals of the system were to provide:

  • Single data source across both sites.
  • Increased data accuracy.
  • Increased data timeliness.
  • Ability the view and plan resources across projects, business streams and sites.

J+S launched an Integrated Business System (JIBS) project to select and implement the new system. The JIBS team consisted of one full-time Project Manager and six part-time team members.

The solution

Program objectives
In 2012 the J+S team selected Microsoft Dynamics AX2012 and the Gold Partner eBECS as their implementation partner. The program had three main objectives:

  • To minimize AX customizations, i.e. achieve an out of the box implementation.
  • Self-sufficiency at Go Live.

    - Thorough end-to-end process knowledge and competency.
    - In-house system administration and troubleshooting.
    - In-house customizations and report development.

  • Go Live date of 5 May 2014.

AXtension® Visual Planning decision process
In late 2012 it became clear that the standard scheduling capabilities provided by AX2012 did not quite support the J+S need to schedule resources on a project basis. eBECS identified workarounds using standard AX capabilities, but none of them fully met the company’s needs. eBECS then identified three third-party possible software solutions that would enhance the Dynamics AX solution, one of which was AXtension® Visual Planning (VP). A vendor selection process was undertaken and VP was identified as the preferred choice from both a technical and cost perspective. “It was pretty clear that, for our company, Visual Planning was the preferred choice, so we proceeded down that path”, continued Tipper. “AXtension kindly provided us with a demo environment which was the same basic system that we have. They gave us access for a number of different users in my project team so that they could play on it. We had developed three different, detailed real life scenarios that we spent months playing around on, making sure it did exactly what we wanted it to do. AXtension resolved all of our queries and we decided at that point that we were definitely going forward. The key things about it was that it met our technical requirements, it didn’t require any set up or configuration, it was up and running instantly, and on the risks side we could choose to use it to whatever extent we wanted to because it didn’t change the way we defined any of our processes, and there was going to be no impact with regard to our implementation plan.”

Laura Tipper talks about why she loves working at J&S Ltd & the exciting services that they're providing to the reneable energy industry. Microsoft Dynamics AX along with AXtension and their partner eBECS Ltd help J&S manage their resources more efficiently, enabling them to spend more time thinking about the great services they're providing to their customers!

With over 40 years of experience, NHP Electrical Engineering Products Pty Ltd (NHP) is a market leader specializing in electrical engineering products. NHP’s mission is to be their customer’s first choice in industrial electrical and automation products, systems and solutions. Their aim is simple – to provide “what you want, when, where and how you want it”.

The core of NHP’s annual sales is value added assembly, a mixture of MTS, MTO, CTO and ETO. They manufacture custom design items that must be engineered to order. Customer-specific designs are therefore key to their manufacturing process. The process is supported by a staff of 150 – 200 people and their output is 5.000 ETO units per year. Their outdated legacy system required them to work around various issues. For example, when file sharing, the Access database did not support too many simultaneous users. Not only would the system crash, but also the wrong drawings were sometimes selected, resulting in late deliveries. Because their system was no longer suitable, NHP decided to search for a replacement that would ensure they reached their goal of delivering on time and within budget. NHP literally searched the internet and found AXtension® Enterprise Content Management (ECM).

NHP Statistics

  • 900 employees.
  • 25 branches.
  • 24 regional locations in Australia and New Zeeland.
  • 70.000+ items in stock.
  • Serving a number of industries including: mining, manufacturing, water and wastewater, infrastructure, commercial buildings, pulp, paper and timber, processing plants, oil and gas, and food and beverage.

NHP Testimonial

NHP uses a customer’s design to manufacture their Engineer to Order (ETO) products. “The first step is the quotation and configuration.” says Wess Cassidy, General Manager. “During this step the design is used to estimate the components that are needed. This step can access about 15 associated tender documents. Since you talk quite intensively with the customer, you always need these documents at hand and must know their whereabouts.” Eventually, the customer fills out a Purchase Order, which is then exported to a Sales Order that the customer verifies. Using the customer’s design, NHP creates a drawing, which then requires the customer’s final approval. After this, the Production Order and the associated Purchase Order are generated. Some specialized work is done externally. This means that the design, drawing and work instruction must be shared with third parties.

“Lots of associated documents are included in the entire process. When you do not manage this process well the production floor ends up working with the wrong drawings and the customer will end up with the wrong goods” says Wes Cassidy. “Our old system was outdated and lots of business critical documents were handled by hand. This resulted in many errors: wrong drawings resulted in wrong and/or late deliveries. This problem needed to be resolved.”

Requirements

NHP needed to make sure that the companies to whom they outsource and the production department all work with the right design, drawings and work instructions and that the design and drawings are properly shared externally as well as internally. Lots of documents are handled through SharePoint and NHP runs their business through AX. NHP’s grand plan was to implement a standardized solution that met the following requirements:

  • Based on the Microsoft stack.
  • Allowed them to share information internally.
  • Allowed them to share information with the customer and vendors.
  • Somehow integrated SharePoint and Dynamics AX working together.

Goals

  • Integrated system so that minimal manual entry is needed.
  • Eliminate the risk of using the wrong version of business critical documents.
  • Save time on (manual) handling of documents.
  • Always have the right version at hand.
  • Provide the customer with “what they want, when, where and how they want it”.

The solution

NHP achieves their mission of being their customer’s first choice for electronic products because Microsoft Dynamics AX enhanced with AXtension® Enterprise Content Management which is the perfect way to share, store and access documents.

“The standard document handling in Dynamics AX is really good, but one of the limitations is that when you attach a document to a form you cannot access it on another form. And, through the process from the Sales Order to a Production Order, you need to access the documents in all kind of different places. So, the standard document handling is not sufficient” says Wes Cassidy.

With AXtension® ECM you have a completely different view of the document handling system. For instance, when viewing the quotation the same screen shows you the libraries containing the different types of documents that are related to that particular project. On the right side of the screen you can see the SharePoint view. The project-related documents are uploaded in SharePoint via Dynamics AX, allowing you to manage the project from the Sales Order.

From the Quotes form you can go to the Sales Order and access the same library structure described above.  “When the product managers talk to the customer they have all the latest versions of the required documents at hand. They are all working with the same information. They don’t have to go back and forth with the people who made the quotation, it is right there. The engineering team also has access to the right drawings, right there.” Wes Cassidy continued, “for us there is a huge efficiency gain right there!”

“Another huge advantage is the ability to use standardized templates when creating new documents like Purchase Orders, Production Orders, etc.” said Wes Cassidy. “When you access the Sales Order and create a new document you can open a template. First, you have to pull Meta Data from SharePoint. You are prevented from making any errors because the details are pulled directly from the Sales Order. All the required fields are already filled out based on the Sales Order input. When you send out documents you are sure that all the right info is embedded. Not only does this reduce errors, it is also a huge efficiency gain.”

Advantages

Advantages of AXtension® Enterprise Content Management

  • Makes use of the advantages of both Dynamics AX and SharePoint:
    • Meta data tagging resulting in reduction in errors, easy to find, everyone has the information they need.
    • Always accesses the correct documents because of SharePoint’s versioning functionality.
  • Error reduction.
  • Integrated System, standardized solution.
  • Efficiency gains.
  • Embedded in Dynamics AX allowing IT to maintain one environment. No additional needs for IT infra-structure.

“Standard solution with the support that comes with a standard solution and not depending on one or two specific people who have the specific knowledge.”

Advantages of AXtension as an ISV

  • Professional, responsive, easy to deal with.
  • Unparalleled support during the project implementation: training, proof of concept, business case, installation assistance, and so on.
  • Very short adoption period because of the ease of use. Two months in total.

Results

Using AXtension® Enterprise Content Management for document management offers NHP:

  • Saving of, on average, one million Euros on stocks.
  • High stock reliability (min. 98%).
  • High delivery reliability (99.8%).
  • Shorter loading time (reduced from 2-2.5 hours to an average of 1 hour).
  • Insight, overview and transparency.
  • Chance of error is zero.
  • Single-point-of-truth.

“For us it was the right tool, at the right time, supported by the right team. It’s been a great outcome for us as a company; I don’t believe we could have achieved so much so quickly without AXtension® Enterprise Content Management.” Quote from Bernard Moloney, IT develop manager.

  • Visual indication of scheduling conflicts.
  • Automated and standardized allocation and reporting of internal equipment rental.
  • Ability to create alerts and notifications.

Solution Microsoft Dynamics AX enhanced with AXtension:

  • Enterprise Content Management
  • Visual Project Planning
  • MatchPoint

Advantages

Using AXtension® Enterprise Content Management for Resource Scheduling offers Keller:

  • Digital Filing Cabinet for all Project Files.
  • Central storage, security, support and back up.
  • Standardized Document Categories (file folders).
  • Ability to create documents from standard templates (ex RFI, Transmittal, etc.).
  • Intuitive “drag and drop” capabilities.
  • Fully integrated in Keller’s Groundworks.

Using AXtension® Visual Project Planning for Resource Scheduling offers Keller:

  • A real time view of equipment and personnel schedules and availability.
  • A perpetual schedule that contains all active projects.
  • Management of the beginning and end dates of all projects.
  • Visual indication of scheduling conflicts.
  • Automated and standardized allocation and reporting of internal equipment rental.
  • Ability to create alerts and notifications.

The real key for us was providing operational staff with a portal for managing project activities. Based on my experience I know operations managers do not have a lot of tools to run their projects. They run projects of up to millions of dollars a year and they do not have access to information. Our goal was to use our tools and resources more effectively and this ties into the need to use AXtension® Visual Project Planning”. Says Brain Seymour, IT Director of Keller Foundations. “And then of course the ability to do Enterprise Content Management and field reporting”.

Customer & Partner Quotes

“We are in the project business, we have running hundreds of projects all at one time, we have a lot of people and a lot of heavy equipment in the field and the ability to view where equipment and personal need to be is really important.” Says Brain Seymore, IT director of Keller Foundations. “We have at least 50 planning boards or even worse just pieces of paper with planning’s around the country. We have a lot of specialty equipment, so we have one or two of a particular type and they are very expensive, so you want to use these as efficiency as possible.” Brain Seymore continues. “One of our goals is to increase the utilization of our equipment by managing it more efficiently. Being able to manage and integration with actual projects and stop dates is really important.”

“We have a whole fleet of equipment that costs a lot of money, you have got to be able to charge it back to the project to see the true profitability of the project. The way we can make sure we can judge everybody is to make sure everybody is doing it the same way consistently.” Said Brain Seymour. “To be able to automate this very manual process was a huge efficiency gain for us.”

Ravi Iyer, Consultant at Hitachi Consultancy says “We started off with the standard product. It is all in the Microsoft Dynamics AX (AX) environment so standard AX development code can be used to extend it. For example, the colour coding needed to be tweaked. We got that to work very well.” Another enhancement that Keller wanted to add to the standard were extra filters on to the screen. This way every subsidiary can filter and only view his own projects. “You just need to understand the structure and then it is quite easy to make small modifications.” Ravi says. “The screens are not in a web browser but every AXtension is built in an AX form within the AX client. I think it is pretty cool to have such a visual screen within the AX client.” He continues.

“The ability to have a filing cabinet tied directly into AX with access to all real data was huge for us. With AXtension® Enterprise Content Management you have the ability to get the same data from different angles. Because when you use the standard document handing in AX you are tied to that particular form in AX and this is unacceptable for us.” Explains Brain Seymour. “For example, if a branch manager is responsible for 5 project managers, he wants to have access to the contracts of all 5 managers without having to go in every single screen.”

We will use more AXtension® solutions. These are standard solutions that have been developed from a broader market perspective, so we automatically benefit from this knowledge. Together, these solutions eliminate the need for customization. And make it possible to have an update to Microsoft Dynamics AX.”

- Ruud Haring, Commercial Director of Pulse Business Solutions

Visual Project Planning is a tremendous addition to Microsoft Dynamics AX, as the item meets its planned requirement deadline. The process becomes much more just-in-time.”

- Mr. D. Roo CFO of Rollecate

The Administration Division now works much more efficiently. Where we used to need thirteen people, now seven employees can do the same work. This is mainly due to the single data entry at the start of each project and AXtension® MatchPoint. Purchasing Invoices are scanned directly into the system. That means no more duplication of effort and the error rate has decreased enormously. The Approval workflow also passes through the various qualified personnel automatically. This means, for example, that we can benefit from payment discounts. It is our goal to make the whole manual process disappear, and ultimately the purchase invoice matches the bill.”

- Mr. D. Roo CFO of Rollecate.
