J+S is a UK based engineering solutions provider. Founded in 1956, they are a small privately owned company with a total staff of 130 people over two locations in Barnstaple and Aberdeen and have an annual turnover of £13m. They have three main business streams:

  • Marine Renewables.
  • Oil & Gas.

J+S main capabilities cover Marine Engineering and Equipment Support Services and lie in the following areas:

They have built strong, long term relationships with a very diverse and increasing number of

Requirements

 

To support all of their customer requirements, at each site an engineering team supports their design and development programs and engineering tasks derived from their long term, off-shore support projects. A Support services team provides both on-shore and off-shore technical services, which requires special skills, qualifications and certifications. The engineering team located in Aberdeen also performs off-shore work. UOR and Oil & Gas repair work often requires immediate deployment, necessitating the re-prioritization and re-allocation of resources. Engineering and support service resources are assigned to projects by the Resource Manager for each site and they must be able to react at a moment’s notice to fill requirements and then provide backup support. “Managing all of these key capabilities is something we have been struggling with for a long time”, said Laura Tipper, the J+S ERP Project Manager.


The current situation is that the Barnstaple site is using a 15-year old Sage 500 system and the Aberdeen site is using a 2-year old Pegasus Opera II system, and of course the two systems run independently. They perform a semi-annual monthly and yearly account reconciliation, which requires dozens of spreadsheets and access databases to run the business. Microsoft Project is used sparingly and without resource planning, which is done on white boards in the Resource Managers’ offices.


The J+S management team produced a Road to 2015 strategy document that outlined the need for a single ERP system. Their key goals of the system were to provide:

  • Single data source across both sites.
  • Increased data accuracy.
  • Increased data timeliness.
  • Ability the view and plan resources across projects, business streams and sites.


J+S launched an Integrated Business System (JIBS) project to select and implement the new system. The JIBS team consisted of one full-time Project Manager and six part-time team members.

 

The solution

 

Program objectives
In 2012 the J+S team selected Microsoft Dynamics AX2012 and the Gold Partner eBECS as their implementation partner. The program had three main objectives:

 

  • To minimize AX customizations, i.e. achieve an out of the box implementation.
  • Self-sufficiency at Go Live.

    - Thorough end-to-end process knowledge and competency.
    - In-house system administration and troubleshooting.
    - In-house customizations and report development.

  • Go Live date of 5 May 2014.


AXtension® Visual Planning decision process
In late 2012 it became clear that the standard scheduling capabilities provided by AX2012 did not quite support the J+S need to schedule resources on a project basis. eBECS identified workarounds using standard AX capabilities, but none of them fully met the company’s needs. eBECS then identified three third-party possible software solutions that would enhance the Dynamics AX solution, one of which was AXtension® Visual Planning (VP). A vendor selection process was undertaken and VP was identified as the preferred choice from both a technical and cost perspective. “It was pretty clear that, for our company, Visual Planning was the preferred choice, so we proceeded down that path”, continued Tipper. “AXtension kindly provided us with a demo environment which was the same basic system that we have. They gave us access for a number of different users in my project team so that they could play on it. We had developed three different, detailed real life scenarios that we spent months playing around on, making sure it did exactly what we wanted it to do. AXtension resolved all of our queries and we decided at that point that we were definitely going forward. The key things about it was that it met our technical requirements, it didn’t require any set up or configuration, it was up and running instantly, and on the risks side we could choose to use it to whatever extent we wanted to because it didn’t change the way we defined any of our processes, and there was going to be no impact with regard to our implementation plan.”

With over 40 years of experience, NHP Electrical Engineering Products Pty Ltd (NHP) is a market leader specializing in electrical engineering products. NHP’s mission is to be their customer’s first choice in industrial electrical and automation products, systems and solutions. The core of NHP’s annual sales is value added assembly, a mixture of MTS, MTO, CTO and ETO. They manufacture custom design items that must be engineered to order. Customer-specific designs are therefore key to their manufacturing process. The process is supported by a staff of 150 – 200 people and their output is 5.000 ETO units per year. Their outdated legacy system required them to work around various issues. For example, when file sharing, the Access database did not support too many simultaneous users. Not only would the system crash, but also the wrong drawings were sometimes selected, resulting in late deliveries. Because their system was no longer suitable, NHP decided to search for a replacement that would ensure they reached their goal of delivering on time and within budget. NHP literally searched the internet and found AXtension® Enterprise Content Management (ECM).

NHP Testimonial

NHP uses a customer’s design to manufacture their Engineer to Order (ETO) products. “The first step is the quotation and configuration.” says Wess Cassidy, General Manager. “During this step the design is used to estimate the components that are needed. This step can access about 15 associated tender documents. Since you talk quite intensively with the customer, you always need these documents at hand and must know their whereabouts.” Eventually, the customer fills out a Purchase Order, which is then exported to a Sales Order that the customer verifies. Using the customer’s design, NHP creates a drawing, which then requires the customer’s final approval. After this, the Production Order and the associated Purchase Order are generated. Some specialized work is done externally. This means that the design, drawing and work instruction must be shared with third parties.

 

“Lots of associated documents are included in the entire process. When you do not manage this process well the production floor ends up working with the wrong drawings and the customer will end up with the wrong goods” says Wes Cassidy. “Our old system was outdated and lots of business critical documents were handled by hand. This resulted in many errors: wrong drawings resulted in wrong and/or late deliveries. This problem needed to be resolved.”

 

Requirements

NHP needed to make sure that the companies to whom they outsource and the production department all work with the right design, drawings and work instructions and that the design and drawings are properly shared externally as well as internally. Lots of documents are handled through SharePoint and NHP runs their business through AX. NHP’s grand plan was to implement a standardized solution that met the following requirements:

  • Based on the Microsoft stack.
  • Allowed them to share information internally.
  • Allowed them to share information with the customer and vendors.
  • Somehow integrated SharePoint and Dynamics AX working together.

 

Goals

  • Integrated system so that minimal manual entry is needed.
  • Eliminate the risk of using the wrong version of business critical documents.
  • Save time on (manual) handling of documents.
  • Always have the right version at hand.
  • Provide the customer with “what they want, when, where and how they want it”.

The solution

NHP achieves their mission of being their customer’s first choice for electronic products because Microsoft Dynamics AX enhanced with AXtension® Enterprise Content Management which is the perfect way to share, store and access documents.

 

“The standard document handling in Dynamics AX is really good, but one of the limitations is that when you attach a document to a form you cannot access it on another form. And, through the process from the Sales Order to a Production Order, you need to access the documents in all kind of different places. So, the standard document handling is not sufficient” says Wes Cassidy.  

 

With AXtension® ECM you have a completely different view of the document handling system. For instance, when viewing the quotation the same screen shows you the libraries containing the different types of documents that are related to that particular project. On the right side of the screen you can see the SharePoint view. The project-related documents are uploaded in SharePoint via Dynamics AX, allowing you to manage the project from the Sales Order.

 

From the Quotes form you can go to the Sales Order and access the same library structure described above.  “When the product managers talk to the customer they have all the latest versions of the required documents at hand. They are all working with the same information. They don’t have to go back and forth with the people who made the quotation, it is right there. The engineering team also has access to the right drawings, right there.” Wes Cassidy continued, “for us there is a huge efficiency gain right there!”

 

“Another huge advantage is the ability to use standardized templates when creating new documents like Purchase Orders, Production Orders, etc.” said Wes Cassidy. “When you access the Sales Order and create a new document you can open a template. First, you have to pull Meta Data from SharePoint. You are prevented from making any errors because the details are pulled directly from the Sales Order. We got that to work very well.” Another enhancement that Keller wanted to add to the standard were extra filters on to the screen. This way every subsidiary can filter and only view his own projects. “You just need to understand the structure and then it is quite easy to make small modifications.” Ravi says. “The screens are not in a web browser but every AXtension is built in an AX form within the AX client. I think it is pretty cool to have such a visual screen within the AX client.” He continues.
